Connect IMAP/SMTP Accounts

Learn how to connect your custom email account using IMAP and SMTP protocols. Lumyvo supports all major email providers for automated email sorting and AI customer support.

What is IMAP/SMTP?

  • IMAP (Internet Message Access Protocol): Used to receive and read emails from your email server
  • SMTP (Simple Mail Transfer Protocol): Used to send emails through your email server

Prerequisites

Before connecting your IMAP/SMTP account:

  1. Active Lumyvo account (Free Trial or paid plan)
  2. Email account with IMAP/SMTP access enabled
  3. App-specific password generated (if your provider requires it - see below)
  4. Server settings for your email provider (IMAP server, ports, etc.)

Supported Email Providers

Lumyvo supports the following email providers with pre-configured settings:

  • GMX - German email service
  • Yahoo Mail - Popular free email service
  • IONOS - Business email hosting
  • iCloud Mail - Apple email service
  • Zoho Mail - Business email platform
  • Custom IMAP - Any other IMAP-compatible provider

Note: Gmail and Outlook are supported through OAuth connections (see Connect Gmail Account guide). No app passwords needed for Gmail/Outlook.

Connection Steps

1. Navigate to Email Connections

  1. Log in to your Lumyvo dashboard
  2. Locate the Email Connections card
  3. Click Connect IMAP button

2. Select Your Provider

Choose your email provider from the list of pre-configured options, or select Custom IMAP if your provider isn't listed.

3. Enter Your Credentials

Provide the following information:

  • Email Address: Your full email address (e.g., [email protected])
  • Password/App Password: Your app-specific password (see Provider App Passwords guide below)
  • IMAP Server: Pre-filled for standard providers, or enter manually for custom
  • IMAP Port: Usually 993 (SSL/TLS)
  • SMTP Server: Pre-filled for standard providers, or enter manually for custom
  • SMTP Port: Usually 465 (SSL) or 587 (TLS/STARTTLS)

4. Test Connection

Click Test Connection to verify your settings. If successful, you'll see a green checkmark. If it fails, double-check your credentials and server settings.

5. Save and Connect

Once the test is successful, click Save to complete the connection. Your email account is now ready for automation!

Note: IMAP access must be enabled in Zoho Mail settings. Not available for free plan users.

Common IMAP Server Settings (Other Providers)

If your email provider isn't listed above, you can use custom IMAP settings. Here are settings for other popular providers:

Security: All providers use SSL/TLS encryption for secure connections.

Security & Privacy

  • Encrypted Storage: All credentials are encrypted at rest in our secure database
  • No Password Exposure: We never store or display your actual password
  • App Passwords: We recommend using app-specific passwords, not your main account password
  • Revocable Access: Disconnect anytime from your dashboard
  • Limited Scope: We only access what's needed for email sorting and customer support

Troubleshooting

Connection Failed

Issue: "Unable to connect to IMAP server"

Solutions:

  • Verify IMAP access is enabled in your email account settings
  • Check that you're using the correct server address (no typos)
  • Ensure the port number matches your provider's requirements
  • Confirm SSL/TLS encryption is enabled

Authentication Failed

Issue: "Invalid credentials" or "Authentication failed"

Solutions:

  • Double-check you're using an app password, not your regular account password
  • Verify two-factor authentication (2FA) is enabled on your account (required by most providers)
  • Ensure you copied the entire app password without spaces
  • For GMX: Enable POP3/IMAP in account settings first
  • For Zoho: Enable IMAP access under Settings → Mail Accounts

Emails Not Being Processed

Issue: Connected successfully but emails aren't being sorted or processed

Solutions:

  • Wait 5-10 minutes for initial synchronization
  • Ensure you've configured Email Sorting or AI Customer Support settings
  • Check that you have available credits in your account
  • Verify your email categories are properly defined

SMTP Sending Failed

Issue: Can't send emails or save drafts

Solutions:

  • Verify SMTP server settings match your provider
  • Ensure SMTP authentication is enabled
  • Check that the SMTP port is correct (465 for SSL, 587 for TLS)
  • Confirm your provider allows third-party SMTP access

Disconnecting IMAP Account

To disconnect your IMAP account:

  1. Go to Email Connections card on your dashboard
  2. Find the connected email account
  3. Click the options menu (•••)
  4. Select Disconnect
  5. Confirm the action

Warning: Disconnecting will stop all automations using this email account.
